Milan has more than a hundred software houses, and from the outside they all look alike. To choose, look at a few things you can check. Who will work on your project, what they will show you during development, who will own the code and data at the end, who answers after launch.
Everything else (a polished website, client logos, first place in a ranking) helps you build a list. It does little to help you decide.
Before you search, know what you need
A management system for a sixty-person company and a startup's app are different jobs, and the software houses that do each one well often aren't the same. Before opening Google, write half a page on what the software must do, who will use it and which systems it has to talk to. The accounting package, the e-commerce site, the Excel files that hold everything together today.
That half page pays off twice. It rules out anyone who does something else, and it lets you compare offers on the same basis. If you don't know where to start, how to write a software brief has an outline.
How to read rankings and directories
Search for "best software houses in Milan" and you get three kinds of source. Directories such as Sortlist, Clutch or Shugar, rankings published by online newspapers, and the blogs of the software houses themselves.
Directories are useful to get a feel for the market, with one caveat. The top spots are often paid, marked with labels like "featured" or "sponsored". That isn't wrong, but it means the position says little about quality.
Many rankings in local newspapers are sponsored articles, and it usually says so in small print at the top or bottom of the page. When the same company comes first in ten different rankings, all written the same way, it is more likely to have bought the articles than to have won ten comparisons.
Reviews carry more weight when the platform verifies them and when they describe a project. "Great team, highly recommended" is worth little. "They rebuilt our warehouse system, by the third month we had switched the old one off" is worth a lot, especially if the client has a name and a role.
An office in Milan, for real
Having an address in Milan and working in Milan are not the same thing. Some software houses have a registered office or a sales office here and the team somewhere else. That can work perfectly well, but it's better to know up front.
The check is simple. Ask where the team works and whether they can come to you for the first site visit. For a management system it matters a lot, because the work starts by watching how things are done on the floor, the sheet the warehouse manager updates every morning, the calls that come into purchasing. You can do it on a call. Doing it next to the people who do the work is faster and leads to fewer mistakes.
If your company is outside the city, little changes. Lombardy, Piedmont or Veneto are reachable in a day, and a supplier who asks you to settle for a video call instead of a site visit is already making choices for you.
Who writes the code
It's the question people ask least, and the one that matters most. Some software houses have an in-house team. Others sell the project and pass it on to outside contractors or third-party companies, sometimes abroad.
Ask to meet the people who will work on your project. Not the salesperson, the developers. And ask whether any of the work will be subcontracted, even in part. A clear answer is already a good sign. The pros and cons of the different setups are covered in software house or freelancer.
How they will show you progress
During development you should see working software at regular intervals. Slides and "it's going well" don't count. Ask how often there will be a demo, and on what data. Every two weeks is a sensible pace, because a problem shows up while it is still cheap to fix.
Look at how the quote is built too. A written scope, with its assumptions spelled out, lets you see what is included and what isn't. A single number at the bottom of a page doesn't. The two most common formats, fixed price or time and materials, are compared in fixed price or time and materials.
The contract and what comes after
Two clauses need reading before you sign. The first is ownership. Code, database and server access should be in your company's name, in writing, from day one. Otherwise changing supplier becomes hard. We cover it in who owns the code.
The second is support. How long it is included after delivery, how fast they respond to an urgent problem, what it costs afterwards. Software that becomes part of daily work will need fixes and small changes for years, and that line deserves as much comparison as the starting price. Questions to ask at the first meeting
Bring them written down and ask everyone the same ones, so the answers can be compared.
Who will actually work on the project, and can I meet them?
Will any part of the work go to third parties?
Can you come to us for the site visit?
How often will we see a demo, and on what data?
What does the quote include and what are the assumptions?
Will the code, database and access be in our name?
How much support is included after delivery, and with what response times?
Can I talk to a client you did similar work for?
The last one tells you the most. A software house that is confident in its work will put you in touch with a client without any fuss.
How we work
Since we are a software house in Milan, it's fair to say how we answer these questions ourselves. The team is in-house and works from Viale Sabotino, with no subcontracting. To compare offers, ask for a written scope with its assumptions, so you can see line by line what is included. Count support after launch too, not just development.
Is a large or a small software house better?
It depends less on size than on who will work on your project. A large company may assign you a junior team or subcontract, a small one may be too busy to follow you. Ask to meet the people, to see regular demos and to talk to a client with a similar project.
