Time depends less on how much code there is and more on how fast decisions get made. Two projects of similar size can take twice as long as each other simply because in one the answers come back in a day and in the other in three weeks.
People who ask "how long will it take?" usually expect a number tied to technical complexity. Complexity matters, but it's rarely what makes a project slip. Waiting does. A decision put off, data that doesn't arrive, a third-party supplier who doesn't reply, comments that pile up for a month and then land all at once.
A few reference points. A well-scoped MVP can be brought to a level you can show investors in 6-8 weeks, and an installation for an event can go live in a single week when the date demands it. Those are real timescales, provided the scope is clear and decisions come quickly. We wrote about them in what really goes into a 6-8 week MVP.
Management software, app or platform
The type of product matters less than the number of different processes it has to handle. An internal management system with three linear workflows gets built faster than a simple app that has to talk to five external systems.
With custom management software (what Italian companies call a gestionale, the ERP-style system that runs orders, stock, invoicing and so on) the long part is the start. You have to understand how the company really works, with its exceptions, its unwritten rules and the steps that today live in an Excel sheet or in one person's head. Once that's clear, development moves along steadily.
A mobile app adds steps that depend on neither you nor the supplier. App store review, testing on different devices, the differences between operating systems. Better to put them in the calendar from day one.
A platform for outside customers needs more polish. Sign-up, permissions, payments, emails, edge cases. Each piece is simple on its own, but there are a lot of them and they all have to work from the first day.
What makes a project longer
Usually the same four things, and none of them is technical in the strict sense.
The first is decisions that don't come. Every open question holds up a piece of work, and if answering it takes three people and a meeting, a ten-minute choice turns into a week of waiting.
Then there's data. If the new system has to start with the old one's data, extracting, cleaning and checking it takes time, and more of it the older and messier the data is. If that's your situation, read how to migrate data from your old management system.
Integrations are the third. Every external system is a small project inside the project, with credentials to obtain, documentation to make sense of and behaviour you only discover in the field. Often it depends on a third party with its own schedule.
Last, slow feedback. A version that gets shown and commented on three weeks later means three weeks of work built on assumptions nobody checked, and when the comment arrives you sometimes have to go back.
How to shorten the timeline without cutting quality
You shorten it by removing the waiting. The work stays the same. The levers that work best are organisational, and a good share of them are on your side.
One person who decides, with the authority to say yes or no within a day or two and the sense to bring others in when needed. A committee slows everything down.
A narrow initial scope. Starting with the essential functions and adding the rest after launch is faster than cramming everything into the first version.
Data and access ready early. Exports, credentials and contacts for external suppliers should be requested in the first week, not on the day you need them.
Frequent, short feedback. Seeing the work every two weeks and commenting on it straight away stops you discovering a misunderstanding when it has already cost a month.

Why initial estimates change
An estimate made before the details are known is a reasoned hypothesis. It doesn't make promises. It becomes reliable as the scope gets clearer.
The most honest estimate states its assumptions, things like "we're allowing for two integrations", "the data arrives already deduplicated", "there are ten screens". If an assumption changes, the estimate changes with it and you know why. Be wary of anyone who gives you a precise number without asking you any questions, because that number takes nothing about your project into account. The same goes for price, as we explain in how custom software is really priced.
It helps a lot to revisit the estimate at the end of every sprint, comparing what was planned with what got done. A gap shows up early, when you can still decide what to postpone, and not on the eve of delivery.

How long does it take to develop custom management software?
It depends on how many processes and exceptions there are to handle, the data to migrate and the integrations with other systems. The initial analysis phase weighs heavily, because understanding properly how you work avoids redoing parts later. A serious supplier gives you an estimate after asking you questions.
Can you get custom software in a few weeks?
Yes, if the scope is narrow and decisions come quickly. A well-scoped MVP can be ready for investors in 6-8 weeks, and an installation for an event even in one. You do have to accept that the first version contains only the essentials.
