Almost every company starts with AI the same way. Someone opens a separate tool, a chat, an external service, a browser tab. They paste in the text, get a result and copy it by hand into the management software (what Italian companies call the gestionale, the ERP or back-office system the business runs on).
For trying things out that's fine. As a permanent way of working, after a few weeks it shows three flaws. It adds steps instead of removing them, because copying, pasting and retyping eats the time you thought you were saving. It leaves no trace, so nothing in the company system records how that result was reached. And it depends on people's goodwill, so half the department uses it and half doesn't, and the data stops being consistent.
The value lies less in the model and more in the exact spot where the result appears. If it shows up already in the field the person had to fill in, that work genuinely disappears.
What "inside" means
You don't need to rebuild the management software. The feature just has to appear at the point in the workflow where it's needed and write where it's supposed to write.
A few examples. The client's email arrives and the order fields are already suggested; the operator checks and confirms, so their job goes from typing to verifying. Next to the send button there's already a draft reply, which you touch up and send without switching windows. While you enter a product, the system suggests the category, the most likely code, the supplier usually used for that kind of item.
Then there's search. Typing "the tender spec where they asked for fire certification" and finding it, without remembering what the file was called. And there are summaries: you open a client record and read, in three lines, what has happened over the last six months, drawn from what's already recorded.
All of these features are added to a system that already exists. They don't replace it.
How to integrate without redoing everything
First you need a hook. If the management software exposes interfaces (APIs), the work is direct. If it's closed you work at the edges, on the incoming flow before the data goes in, or with a side panel that reads and writes where it's allowed. A closed system makes the project more laborious. It doesn't make it impossible.
The result must always stay editable. No field gets written automatically without a person being able to correct it. It's a product rule before it's a technical one, and dropping it is the fastest way to lose users' trust at the first mistake.
You have to record how the result was reached: the source text, the version of the system, what it suggested and what the operator changed. You need that to see whether it's improving, to answer when someone asks where a figure came from and to decide whether to extend its use.
And you need a planned behaviour for when it doesn't work. The service doesn't respond, takes too long, returns something unusable. In that case the field stays empty and the person works the way they always have. The feature should speed the work up, never block it.
Where to start
Forget the spot where AI would look most impressive. Start where people type the most. Look through the screens of your management software and ask the people who use them which one they hate most. Nine times out of ten it's a long form, filled in many times a day, with information that comes from a document or an email. That's where you begin.
Then go step by step. One screen, a small group of people using it for a few weeks, one simple measure: how often the suggested value is accepted without changes. At the end you decide whether to widen it or change course. If suggestions are rarely accepted, the model is seldom to blame. More often the context data is missing, or the task was less repetitive than it looked.
What it costs and how long it takes
It's the question that always comes. The honest answer is that it depends mostly on how accessible your current system is. If the management software has documented interfaces, a first integrated feature takes a few weeks. If it's closed, or the data is spread across different systems, the long part isn't building the feature. It's getting to the data.
That's why the first useful step is half a day of technical review of the existing system, before any quote. You find out whether the project is weeks or months, and sometimes that it's better to start somewhere else, perhaps a nearby process where the data is already within reach.
A warning about timing. Development usually takes less time than testing with real users. These features improve by watching where they go wrong, and that takes weeks of real use. If you allow for it from the start, the project won't feel late when it's doing exactly what it should.
What changes for people
A feature like this changes someone's job, and it's better to say so up front than to let them discover it. In practice the fear is less about being replaced and much more about control. The question that keeps coming back is always the same: "if it gets it wrong, is it my fault?".
The answer needs to be clear. Responsibility stays with whoever confirms; the system suggests, it doesn't decide. And if you involve the people who do that job every day in the test, adoption changes completely. They're also the ones who can point you to the edge cases that no other source would have brought out.
The advantage that builds up
When you're choosing between an external tool and integration, there's a side effect to consider. Operators' corrections stay inside your own system, and over time they become the most precise description of how your company works. They help improve the feature, train new people and show where the process is still unclear.
